Security Guard Agency Management helps agencies post guards at client sites in Odoo. Set up sites and contracts, allocate one guard to one site at a time, and build a roster with overlap checks. Guards check in from the portal, send SOS alerts, scan patrol checkpoints, and share GPS points while on shift. The office runs an SOS control room, logs incidents, keeps a visitor and gate register, issues equipment, and invoices from attendance or a fixed period. Optional auto-invoice can run daily. Payslips need the optional Enterprise payroll add-on. Agency vehicles need the optional Fleet add-on.

  • Sites, contracts, and roster

    Allocate one guard to one site. Build shifts from templates. Overlapping duties for the same guard are blocked. Replace a guard on the contract or on one shift.

  • Portal check-in and SOS

    Guards check in from the portal with optional GPS and geofence. Four SOS levels open a control-room alert with an SLA timer. Optional webhook for your own SMS or WhatsApp bridge.

  • Patrol, GPS trail, visitors, equipment

    QR/NFC checkpoint scans and missed-scan alerts. GPS points while on shift, including offline upload. Gate register with QR pass. Equipment issue and return.

  • Client invoices from the contract

    Bill per hour, per guard-day, or a fixed period. Run invoices by hand or let the daily job invoice Auto Invoice contracts. Invoices are standard Odoo customer invoices.

  • Incidents and SLA hours

    Photos, witnesses, client signature, and PDF. SLA report compares attendance hours to guaranteed hours and missed shifts.

  • Leads and reminders

    Public quote form to CRM. Daily contract-end reminder. Dashboard for on-duty, shifts, incidents, and SOS.

Security Guard Agency Management helps firms that sell on-site guarding run operations in Odoo. The core package works on Community and Enterprise with HR employees, Attendance, Sales, Accounting, CRM, Contacts, Portal, Website, and Discuss for live SOS alerts. Odoo Payroll and Fleet are not required unless you install the optional add-ons.

Sites, contracts, and roster. Create a client site with address and optional map pin, activate a contract, allocate guards, and create shifts from a template or working hours. One guard can be allocated to one site at a time. Replace a guard on the contract or on a single shift with a replacement log and email. The roster refuses overlapping shifts for the same person. You can bulk-create shifts from the contract.

Field work and safety. Guards use the portal for attendance, with optional GPS and an optional geofence around the site pin. They can send Green, Amber, Red, or Medical SOS; managers get a live control-room alert. SLA minutes per colour are in Settings. An optional webhook URL can reach your own SMS, WhatsApp, or push service; this package does not include Twilio or WhatsApp. Patrol routes and checkpoints support QR or NFC scans, with missed checkpoints flagged automatically. GPS on shift stores a trail of points for review; it is not a consumer live-map app. Incidents support photos, witnesses, client signature, PDF, and client email. The visitor and gate register covers visitors, vehicles, material in or out, ID proof, and a QR pass PDF.

Billing, CRM, and options. Invoice by hours worked, guard-days, or a fixed period, weekly to quarterly, through standard customer invoices. Use the Generate Invoices wizard or turn on Auto Invoice for contracts. Public Request a Quote creates a CRM lead. Clients can see contracts and sites on the portal after login. The dashboard shows who is on duty, today’s shifts, open incidents, and SOS. An optional Enterprise payroll add-on builds payslips from attendance. An optional Fleet add-on assigns patrol vehicles to contracts and shifts without double-booking.

Compatibility

Odoo 19 Community or Enterprise. Core does not require Payroll or Fleet. Portal attendance supports optional GPS and geofence when the site has coordinates. SOS control room alerts use Discuss; the webhook URL is for your own messaging service, not a bundled SMS provider. Auto billing, contract expiry reminders, visitor purge, and missed patrol checks run on scheduled jobs. English only. Optional payroll add-on needs Odoo Enterprise Payroll. Optional fleet add-on needs standard Odoo Fleet.
